1. Introduction
Kentucky FFA is a youth organization dedicated to growing leaders, building communities, and strengthening agriculture by supporting Agricultural Education and FFA across the Commonwealth. We are seeking a qualified web design and development agency to create a modern, user-friendly website that effectively tells our story, showcases our impact, and facilitates connections with students, educators, alumni, donors, and partners.
This website project is part of a broader initiative to elevate the visibility of Kentucky FFA and ensure that our digital presence reflects the energy, professionalism, and mission-driven nature of our work.
2. Project Overview
The new website should serve as a central hub for all things Kentucky FFA, including our Association, Foundation, Leadership Training Center and Alumni. This means it should include a framework for donor engagement, scholarship and grant information, event promotion, alumni updates, educator support, and general communication. The site must
reflect Target
our brand identity and values: leadership, growth, education, and community.
Audiences:
● Current and prospective donors and sponsors
● Kentucky FFA members (middle/high school students)
● Agricultural educators and advisors
● Alumni and supporters
● Media and policymakers
● General public interested in youth development and agriculture
Key Functionalities:
● Visually engaging, mobile-friendly design
● Easy-to-update CMS (no technical background required)
● Integrated donation platform with recurring giving options – our donor platform is Donor Perfect and should integrate
● Clear calls to action (donate, sign up, contact, apply)
● Events calendar and online registration capabilities
● News/blog section with tagging and archiving
● Password protected resource hub for educators, students, and alumni
● Embedded video and multimedia support
● ADA accessibility and fast loading speed
3. Current Website
Our current website (www.kyffa.org) has served us for several years but no longer meets the expectations of modern users.
Strengths:
● Recognizable brand and loyal audience
● Core content is in place
Weaknesses:
● Outdated design and navigation
● Difficult to update and maintain
● Not fully mobile-optimized
● Lacks user engagement features
● Content is text-heavy with limited visuals or interactivity

● More storytelling and impact visuals
● Better donor and sponsor engagement features
● Stronger calls to action
● Improved SEO and analytics tracking
4. Goals and Objectives Business Goals:
● Increase online donations and sponsorships

● Easily find scholarships, grants, events, and program info
● Learn how to get involved or give
● Stay updated on news and achievements
● Quickly connect with the right person or resource
5. Design and Functionality Requirements
● Clean, modern design aligned with Kentucky FFA’s brand (blue/gold)
● CMS preference: WordPress or other user-friendly platform
● Fully responsive across desktop, tablet, and mobile
● Social media integration and feeds
● Contact forms and newsletter signup
● Secure online donation capabilities
● Visual storytelling through photo galleries and videos
● Searchable database or directory
● Integration with platforms like Donor Perfect, Constant Contact, Stelter Planned Giving
6. Content Requirements
We anticipate the website will include:
● Approximately 15–20 pages
● Resource downloads (PDFs, guides)
● Blog/news area updated monthly
● Photo and video galleries
● Forms for contact, event RSVP, scholarship submissions
We will provide most of the content, but may need assistance with:
● Organization, Copy editing for clarity and tone
● Image selection, compression, and placement
● SEO-optimized headlines and descriptions
7. Technical Requirements
● Hosting recommendation or support (may stay with current provider or migrate)
● CMS training for Kentucky FFA Foundation staff
● SEO setup and metadata structure
● SSL certificate and secure hosting
● Analytics dashboard setup and tracking integrations
● Compatibility with screen readers and ADA compliance
● Clean, well-documented code with minimal plugin dependence
8. Project Timeline Proposed Timeline:
● RFP distributed: July, 2025
● Proposal deadline: September, 2025
● Vendor selected: November, 2025
● Project kickoff: December, 2025
● Target launch date: May, 2026
9. Evaluation Criteria
Proposals will be evaluated based on:
● Experience with nonprofit and/or education-focused websites
● Understanding of the Kentucky FFA brand and mission
● Clarity, creativity, and feasibility of proposed solution
● Timeline and project management plan
● Post-launch support options
● Cost and overall value
Shortlisted agencies may be asked to participate in a virtual Q&A session.
10. Agency Qualifications
We are seeking an agency or team that:
● Has at least 3–5 years of experience in nonprofit or education web design
● Demonstrates strong UX/UI design skills
● Has experience integrating donation tools and CRMs
● Can provide training and support post-launch
● Communicates clearly and responds quickly
● Can work within a limited budget without sacrificing quality
