Request for Proposal: Podcast Production Services for Growing Kentucky’s Leaders

Overview

The Kentucky FFA Foundation is seeking a podcast production partner to support the ongoing production and distribution of Growing Kentucky’s Leaders, a podcast highlighting leadership, agricultural education, and personal development stories from across Kentucky.

The selected contractor will receive raw Zoom recordings and be responsible for producing and publishing each episode in a professional and timely manner.

Scope of Work

For each podcast episode, the contractor will:

Audio & Video Editing

• Edit Zoom recordings to remove mistakes, pauses, technical issues, and other unnecessary content.
• Improve audio quality and balance sound levels between hosts and guests.
• Ensure final audio and video are polished and ready for publication.

Content Enhancement

• Add podcast intro/outro music provided by Kentucky FFA Foundation.
• Incorporate photos, graphics, logos, lower-thirds, or other visual elements as appropriate for video versions.
• Add episode title graphics and branding elements.

Show Notes

• Develop episode show notes including:
  • Episode summary
  • Relevant links, resources, and references mentioned during the episode
  • Calls to action as requested

Distribution

• Upload completed video episodes to the Kentucky FFA Foundation YouTube channel.
• Upload audio episodes to Spotify for Creators and ensure proper episode details are included.
• Schedule releases according to an agreed-upon publishing calendar, typically around 40-45 episodes per year. 

Social Media Content

• Create one (1) approximately 30-second promotional reel from each episode suitable for social media platforms.
• Deliver reel in vertical format optimized for Facebook, Instagram, and LinkedIn.
• Include captions/subtitles when possible.

Deliverables Per Episode

• One edited full-length video episode
• One edited audio podcast episode
• Episode show notes with links
• YouTube upload and publishing
• Spotify for Creators upload and publishing
• One 30-second social media reel

1. Company or individual background.
2. Relevant podcast production experience.
3. Examples of previous podcast work.
4. Pricing structure (per episode or monthly retainer).
5. Estimated turnaround time from receipt of recording files.
6. References (optional).

Selection Criteria

Proposals will be evaluated based on:

• Podcast production experience
• Quality of previous work
• Understanding of project scope
• Turnaround time
• Cost and overall value

Anticipated Volume

The podcast generally produces weekly, taking a summer & winter break.
